Business Owner Setup Guide
Get your loyalty programme ready to launch.
GoLoyal gives your customers a digital loyalty card they can save to their phone and show to staff at qualifying visits. No printed cards are needed.
This guide takes you through the owner setup journey: create your location, configure your programme, set clear customer terms, prepare your staff, test the full journey, then launch.
Log in and find your dashboard
Head to dashboard.goloyal.co.uk and sign in.
Your dashboard is where you manage your locations, loyalty cards, staff and activity.
Your account must be set up as the owner of the business before you can manage its programme. Your plan also controls how many cards, locations and staff accounts you can add.
If you reach a plan limit, the dashboard may ask you to upgrade or contact support before adding another resource.
Create your location first
Create your business location before publishing a loyalty card.
Your location links the programme, public Business/Marketing QR, staff scanning and activity reporting to the correct venue.
Add the location details your customers should recognise, such as:
- venue name;
- address and contact details where used;
- the information you want associated with that location.
Why this comes first
Before you publish a card, make sure the correct location is available to select.
A linked location helps keep your programme, staff activity and customer acquisition tied to the right venue.
What to check
Before moving on, check that:
- the location has been created;
- the venue name is correct;
- the address and contact details are accurate where used;
- the location is ready to select on your loyalty card;
- you have enough plan capacity for any additional locations you need.
Some plans support more than one business location. Each loyalty card is linked to one selected location.
Choose your offer type
Choose the reward experience you want customers to have.
GoLoyal supports three main offer types:
- Traditional Loyalty Programme
- Continuous Always-On Discount
- First-Visit Offer
Traditional Loyalty Programme
Use this for a classic collect-and-redeem loyalty journey.
Customers collect stamps or points towards a main reward. When they reach the target, the card becomes Reward Ready.
On a later qualifying visit, staff scan the customer’s Customer QR to confirm the main reward.
Best for:
- cafés;
- restaurants;
- salons;
- dog groomers;
- businesses with regular repeat visits
You can run a Traditional Loyalty Programme with stamps or points.
After the main reward is confirmed, the customer can scan the public Business/Marketing QR again to get a fresh card and start a new cycle.
Continuous Always-On Discount
Use this when you want customers to receive the configured discount on each qualifying visit while their card is active.
Customers can still collect progress towards the card target. On the final qualifying scan, the business honours the configured discount for that visit and the card cycle completes immediately.
There is no separate Reward Ready stage and no later redemption scan for that card cycle.
After the card cycle completes, the customer can scan the public Business/Marketing QR again to get a fresh card and continue using the offer.
Best for:
- businesses with regular direct-order customers;
- businesses offering a standing customer discount;
- offers designed to encourage direct orders rather than delivery-platform orders.
Where configured, this offer can show a direct-order link or discount code.
Your business remains responsible for applying or honouring the discount through its own checkout and fulfilment process. GoLoyal does not automatically apply a discount through an external point-of-sale system, website, app, ordering system or delivery platform.
First-Visit Offer
Use this for a welcome offer intended for new customers.
The customer joins through your public Business/Marketing QR, then completes the qualifying visit or action set by your business.
When the target is reached, the reward is confirmed on that same authorised staff scan. There is no separate Reward Ready stage.
Best for:
- new-customer promotions;
- introductory offers;
- welcome gifts;
- first-visit incentives.
First-Visit Offers are one-time welcome offers. Once the offer is complete, the customer cannot use the same First-Visit Offer again.
Create and configure your loyalty card
With your location set up and your offer type chosen, you’re ready to create your card.
Keep your wording clear and your reward obvious. If a customer can’t tell within five seconds what they’re working towards, it’s worth simplifying. The clearer your card, the more likely customers are to actually use it.
Business and card details
- business or card name
- logo and branding where available
- one linked business location
Reward details
- reward title and description
- the main reward customers are working towards
- expiry date, where the programme or reward has a defined validity period
Choose how customers collect progress
Choose whether customers collect stamps or points.
Stamp cards
Set the number of stamps needed for the main reward.
Standard points cards
- set the number of points needed for the main reward
- set the configured points earned per qualifying visit, where used
Points cards with Milestone Rewards
- set the points target for the main reward
- set how qualifying spend converts into points
Offer-specific settings
Continuous Always-On Discount
- discount percentage
- minimum order value, where used
- direct-order link, where used
- discount code, where used
- expiry
Direct-order links and discount codes are supported for Continuous Always-On Discount programmes where configured.
First-Visit Offer
Make the offer value, expiry and one-time eligibility clear.
For every offer type, select the correct location and check that the customer-facing programme details generated from your settings are correct before launch.
Before you publish
Check that the reward, target, expiry, selected location and offer type are correct.
Every GoLoyal card is personal to one customer, valid only at its selected location, and rewards or discounts cannot be combined with other offers.
Use clear reward wording
- Free coffee
- 20% off direct orders
- Free dessert
- £5 off a qualifying order
Avoid vague labels
- Reward
- Offer
- Benefit
Check customer-facing programme details
GoLoyal generates the customer-facing programme wording from the loyalty-card settings you choose. There is no separate free-form programme-terms editor in the dashboard.
What to check before publishing
- reward title and description
- qualifying visit or purchase
- stamps or points
- reward target
- any expiry date
- selected business location
- offer type
Continuous Always-On Discount details
Where used, also check:
- discount percentage
- minimum order value
- direct-order link
- discount code
Important
The following rules apply to every GoLoyal programme:
- each loyalty card belongs to one individual customer and cannot be transferred
- each loyalty card is valid only at its one selected location
- rewards and discounts cannot be combined with other offers
How the programme wording changes by offer type
Traditional Loyalty Programme
The card wording shows whether customers collect stamps or points, the target they need to reach, and the main reward.
When the target is reached, the card becomes Reward Ready. Staff confirm the main reward on a later scan.
After redemption, the customer can scan the Business/Marketing QR again to start a new card cycle.
Continuous Always-On Discount
The card wording uses the configured discount, any minimum order value, and any direct-order link or discount code.
The discount applies to qualifying visits or orders under the programme rules.
On the final qualifying scan, the card cycle completes. The customer can then scan the Business/Marketing QR again to get a fresh card.
First-Visit Offer
The card wording presents the configured welcome offer and its expiry, where used.
A First-Visit Offer is one-time only.
When the qualifying action completes the offer, the customer cannot use that First-Visit Offer again.
Add Milestone Rewards to a points card
Milestone Rewards let you offer smaller rewards while customers continue collecting points towards the main reward.
They are available only on points-based loyalty cards.
Set up the points card
Before using Milestone Rewards, set:
- the points target for the main reward
- the spend-to-points rate for qualifying spend
- the Milestone Rewards setting on the points card
Set up each milestone
For each milestone, set:
- the points threshold
- the reward title and reward text
- any symbol or display choice, where used
Example reward ladder
150 points
Free side dish
375 points
Free cocktail
500 points
Main reward offering
How Milestone Rewards work
Customers collect points towards the main reward. As they reach each milestone, their card shows the reward status.
Locked
The customer has not yet reached the required points threshold.
Available
The customer has reached the threshold and the milestone has not yet been claimed.
Claimed
Staff have fulfilled and claimed that milestone reward.
What happens at the till
1. Customer shows their card
The customer shows their normal Customer QR.
There is no separate Milestone Rewards QR.
2. Staff add points
Staff enter qualifying spend where required, then add points through the Staff Scanner.
3. Staff claim the reward
When a reward is Available, staff claim it through the Staff Scanner when they are ready to provide it.
Important
- customers show their normal Customer QR
- staff claim milestones through the Staff Scanner
- claiming a milestone does not deduct points
- claiming a milestone does not reset or reduce progress towards the main reward
- claiming a milestone does not close the card
- more than one milestone can be Available at the same time
Milestone Reward details
Before publishing, check that every milestone has the correct points threshold, reward title and reward text.
Milestone Rewards follow the same fixed GoLoyal rules: the customer card is personal, the programme is valid only at its selected location, and the reward cannot be combined with other offers.
Understand card visibility
Every loyalty card has a visibility setting that controls new customer acquisition.
Active
The programme is available for new customers to join through the public Business/Marketing QR.
Hidden
New acquisition is paused and the card is not shown for the owner’s public Business/Marketing QR display or download flow.
Hidden does not, by itself, close existing customer cards. It pauses new joins. Existing customer-card lifecycle and staff scanning are governed by the card’s own status and programme rules.
Before hiding a card, check that this is the outcome you want for new customers.
Get your QR codes
GoLoyal uses two QR codes. They have different purposes.
Business/Marketing QR
This is your public join QR.
New customers scan it with their phone to open the loyalty-card join page.
You can print, display and share it, for example:
- on your counter;
- on menus;
- on posters;
- on flyers;
- on receipts;
- in marketing materials.
Customer QR
This is the personal QR on an individual customer’s own loyalty card.
The customer reveals it when they are ready for staff to scan a qualifying visit, add progress, confirm a main reward or claim an eligible Milestone Reward.
Do not print, display or share a Customer QR publicly.
There is no separate Milestone Rewards QR.
Set up your staff
Add or enable every staff member who will scan customer cards.
Staff need their own account with scanner access enabled before they can use the GoLoyal Staff Scanner.
Before launch:
- Add or enable the staff accounts you need.
- Check that each staff member can log in to the Staff Scanner.
- Share the Staff Scanner Guide with the team.
- Make sure staff understand the difference between the two QR codes.
- Complete at least one controlled test scan together.
Staff should scan only the customer’s personal Customer QR.
They must not scan the public Business/Marketing QR to add stamps, points, rewards or Milestone claims.
Dashboard activity and reporting can record scan and transaction activity. Staff attribution is available where the staff account is correctly linked.
Digital wallet and browser-card access
Customers can save their loyalty cards to Apple Wallet or Google Wallet where available on their device.
Wallet availability can depend on the customer’s device and Wallet provider.
Digital Wallet
Customers can save their loyalty card to Apple Wallet or Google Wallet where available.
This keeps the card ready to open whenever they visit.
Browser card access
Customers can also use their browser card through the secure email link sent after joining.
They may need to verify email access before private card details, including the Customer QR, are shown.
Keeping the card up to date
After a staff action, refresh the verified browser card to check the latest card progress or reward state.
Wallet display behaviour can vary by provider and device. An installed Wallet pass may not show a change immediately or automatically.
If a card looks out of date:
- reopen the Wallet pass;
- reopen or refresh the verified browser card;
- ask staff for help if the displayed progress still does not look right.
Test before you go live
Before promoting the programme, complete a controlled test with:
- an owner account
- a staff account with scanner access
- a test customer card
- a real phone where possible
Pre-go-live checklist
Owner checks
- Dashboard access is working.
- The correct business location is selected.
- Business name, logo, reward, offer type, expiry and customer-facing programme details are correct.
- The card is intentionally set to Active or Hidden.
- Your Business/Marketing QR opens the intended join page.
- The join page shows the correct offer details and generated programme wording.
- Direct-order link or code is correct where a Continuous Always-On Discount uses one.
- You have enough plan capacity for the cards, locations and staff you need.
Customer-card checks
- A controlled test customer can join through the Business/Marketing QR.
- Browser-card access works through the secure email link where required.
- The customer can reveal their Customer QR for staff scanning.
- Apple Wallet or Google Wallet options appear and work where available for the test device and provider.
Staff checks
- Staff can log in to the Staff Scanner.
- Staff scan the Customer QR, not the Business/Marketing QR.
- A stamp or points action is recorded correctly.
- The relevant activity appears in dashboard activity or analytics.
- Staff understand the reward lifecycle for the offer type you selected
Milestone Rewards checks
Use this section only where your points card includes Milestone Rewards.
- Staff can enter qualifying spend.
- Points are added using the intended spend-to-points rate.
- Locked, Available and Claimed states display as expected.
- Staff can claim an Available milestone only when the business is ready to fulfil it.
- Claiming a milestone does not reduce points or close the main card.
Check the journey for your offer type
Traditional Loyalty Programme
- The final qualifying action moves the card to Reward Ready.
- A later staff scan confirms the main reward.
- After redemption, the customer can scan the Business/Marketing QR again to start a new cycle.
Continuous Always-On Discount
- The configured discount is honoured on a qualifying visit in line with your programme.
- The final qualifying scan completes the card cycle.
- No separate Reward Ready or later redemption scan is expected for that card cycle.
- After completion, the customer can scan the Business/Marketing QR again to get a fresh card.
First-Visit Offer
- The qualifying staff action confirms the welcome offer as intended.
- Staff understand that the First-Visit Offer is one-time only.
You’re ready to launch
Launch when:
- your location, card and customer-facing programme details are correct;
- your public Business/Marketing QR is in the right place;
- your staff know how to scan the Customer QR;
- you have tested the customer and staff journey for the programme you are launching.
In the first few days, keep an eye on dashboard activity and ask staff for feedback.
Small wording or process improvements early on make the programme easier for customers to use.
